Pensions administration software has long since been overlooked and underfunded. In this new dawn of digital and AI, what should you be aspiring to when considering technology for pension schemes?

One of the most important things to get right when it comes to admin software is how it influences member experience. This should be at the top of almost every scheme’s list of non-negotiables when looking at admin metrics. As society embraces a digital-first culture, it’s critical that pension administration technology keeps pace to support members on their journey and drive better outcomes.   

Legacy administration systems often sit at the centre of a growing problem: they are outdated, expensive to maintain, and member portals offer only the most basic functionality. The result is predictable with disengaged members, rising numbers of enquiries, and an administrative burden that ultimately drives up transactional costs. 

Modern platforms, however, are reshaping expectations. Multi‑factor authentication, dynamic benefit modelling, and fully digital retirement and transfer‑out journeys are now considered standard. Leading solutions go further, incorporating artificial intelligence, automated inbound‑post analysis, at‑retirement guidance and live reporting dashboards that give schemes unprecedented visibility. 

When deployed thoughtfully, these capabilities do more than streamline processes. They create a member experience that feels intuitive, personalised and responsive. One that encourages engagement, builds confidence, and reduces avoidable transactional fees. In short, they transform administration from a cost centre into a genuine value driver. 

The software that sits beneath the member portal plays an equally critical role in determining how efficiently a scheme is administered. Administration teams rely on the core system every day to run calculations, manage workflows, and maintain accurate data. When that platform is built on outdated code or constrained by capacity limitations, performance can suffer, which slows down processes and ultimately impacts the service members receive. 

Modern, market‑leading systems take a very different approach. Built as cloud‑native solutions, they offer greater capacity and processing power, enabling tasks to be completed quickly and efficiently. Their use of contemporary coding language makes it easier to automate a wider range of calculations. The more automation that can be embedded, the more efficient, consistent, and accurate the service becomes. Faster processing leads to smoother case handling, a more responsive administration experience, and better outcomes for members. 

Of course, enhanced capability comes with a price tag, and the most advanced systems are often the most expensive. This makes it essential to be clear about your technology ‘must haves’ from the outset. Understanding which features genuinely support your objectives will help you identify the solution that delivers the right balance of functionality, efficiency, and value. 

Looking to the future  

Laurels should not be rested upon when it comes to technology. Good tech should be future-proofed, and thought should be given to what minimum requirements will be needed at least five years down the road. Cloud native will soon be the new minimum aspiration, which means it is not bound by the typical constraints of physical hardware. Who owns the technology is also a key consideration. Third-party owned software means administrators have less control over development, whereas in-house software gives administrators an edge over their competitors, as the power of change is in their hands. 

Whether you are a Trustee, an in-house pension scheme or a third-party administrator, the future of admin technology should be high on your checklist of things to be looking at. You need to be comfortable that your members are getting the best possible experience, and technology (alongside data quality) is probably the most influential element of this. Members will be using market-leading technology in other sectors and therefore expect a similar experience with their pension.
